This Privacy Policy explains how Panorama Audio Labs Pty Ltd, trading as Panorama Audio Labs (“Panorama Audio Labs”, “we”, “us”, or “our”), handles personal information in connection with our website, software products, plug-ins, licensing, activation, support, communications, and related services.

“Personal information” means information or an opinion about an identified individual, or an individual who is reasonably identifiable.

Panorama Audio Labs is based in Victoria, Australia and develops commercial pro-audio software products for customers in Australia and internationally.

This Privacy Policy should be read together with our End User License Agreement, refund policy, website terms, and any applicable terms or privacy policies provided by Moonbase or other authorised third-party providers.

We may collect personal information you provide to us, including your name, email address, business or studio contact details, support enquiries, product feedback, waitlist or newsletter subscription status, communication preferences, and any information you choose to send us through forms, email, support requests, beta feedback, or other communications.

When you purchase, download, activate, validate, update, or use our software, we and/or our authorised providers may process customer, licensing, transaction, and technical information. This may include customer ID, account ID, order reference, licence ID, activation status, activation count, device identifier, IP address, operating system, software version, plug-in format, download access, validation logs, entitlement status, refund status, chargeback status, tax information, subscription or rent-to-own status, and related licensing information.

When you use our website or communications, we and/or our providers may collect basic technical and usage information, such as IP address, browser type, device type, pages visited, referring page, approximate location, cookies, analytics data, form submission metadata, email delivery status, email opens, email clicks, bounces, unsubscribe information, server logs, security logs, and error logs.

3. Moonbase, Checkout, Payments, and Licensing

We use Moonbase and/or other authorised providers to operate key parts of our commerce, including checkout, payment, tax, customer accounts, licensing, fulfilment, downloads, activations, and entitlement workflows.

Moonbase may act as merchant of record, payment processor, licensing infrastructure provider, customer account provider, or related service provider, depending on the transaction and service configuration.

Moonbase checkout, storefront, account, or licensing interfaces may be embedded on, linked from, or otherwise made available through the Panorama Audio Labs website. Even where these interfaces appear on our website, they may be operated by Moonbase or another authorised provider.

Panorama Audio Labs does not directly collect, store, transmit, or process payment card numbers, card expiry dates, card verification codes, or equivalent payment-card authentication details. Payment card information is handled by Moonbase, payment processors, banks, card networks, or other payment infrastructure providers according to their own terms, security standards, and privacy policies.

We may receive or access limited transaction, order, licence, tax, refund, chargeback, subscription, rent-to-own, account, entitlement, and fulfilment information needed to provide our software and operate our business.

4. What Our Software Does Not Collect

Our software is designed to process audio locally on your device.

Our software is not designed to collect, upload, analyse, store, transmit, inspect, fingerprint, or train on your audio, musical content, rendered files, DAW sessions, project names, filenames, track names, session metadata, presets created by users, client work, creative material, or audio processed through the software.

We do not use our software to listen to, monitor, analyse, train on, or extract information from your audio or creative work.

If you voluntarily send us audio, project information, presets, screenshots, logs, crash reports, or other materials for support, beta testing, bug reporting, or product feedback, we will use those materials only to handle your enquiry, diagnose the issue, improve our products or services, comply with legal obligations, or as otherwise agreed.

5. Website Forms, Comments, Media, and Cookies

If you submit information through a website form, waitlist form, support form, contact form, beta application, or licence support request, we may collect the information you provide. We use form submissions to respond to enquiries, provide support, manage beta or waitlist access, improve our products, diagnose issues, prevent abuse, maintain business records, and comply with legal obligations.

Our website may not provide public commenting functionality in all areas. If comments are enabled and you leave a comment, WordPress or related website systems may collect the information shown in the comment form, your IP address, and browser user agent string to help detect spam, abuse, and security issues.

If you upload images, screenshots, crash reports, logs, presets, audio, or other files to us, those files may contain embedded metadata. You should avoid uploading files that contain sensitive personal information, private metadata, location data, confidential client material, or third-party material unless necessary and authorised.

Our website and online services may use cookies, pixels, local storage, log files, analytics tools, or similar technologies. These technologies may help us operate the website, remember preferences, maintain security, detect abuse, understand website traffic, measure communication effectiveness, support checkout or account workflows, and improve our website, documentation, products, and services.

You can control cookies through your browser settings. Some website features, checkout flows, account features, licence access, or support features may not function properly if cookies are disabled.

6. How We Use Information

We use personal information to provide, license, activate, validate, update, and support our software; process purchases, downloads, refunds, subscriptions, rent-to-own arrangements, account access, and entitlements; respond to enquiries and support requests; send transactional, account, licence, activation, security, purchase, refund, and support communications; send marketing communications where permitted by law; detect fraud, misuse, piracy, chargebacks, licence sharing, licence abuse, unauthorised access, and security issues; maintain, improve, test, and secure our website, software, licensing systems, documentation, support, and services; manage accounting, tax, recordkeeping, compliance, insurance, legal, and business administration obligations; and enforce our End User License Agreement, refund policy, website terms, and other applicable terms.

Where relevant, we may handle personal information to perform a contract with you, take steps at your request before entering a contract, comply with legal obligations, protect legitimate business interests, prevent fraud or abuse, obtain your consent, or as otherwise permitted by applicable law.

We do not sell your personal information.

7. Marketing Communications

If you subscribe to our mailing list, join a waitlist, purchase from us, download a product, apply for beta access, or otherwise opt in to communications, we may send product updates, development notes, launch information, educational content, offers, or related marketing where permitted by law.

You can unsubscribe at any time using the unsubscribe link in our emails or by contacting us.

Transactional, licensing, account, purchase, activation, security, legal, and support emails may still be sent where necessary to provide our services, manage your licence, respond to your request, or comply with legal obligations.

8. Third-Party Providers and International Processing

We use third-party providers to operate our business, including providers for checkout, payment processing, tax handling, licensing, activation, entitlement management, downloads, website hosting, email delivery, marketing communications, analytics, accounting, cloud storage, backups, software development, issue tracking, customer support, legal, tax, insurance, and professional services.

These providers may include Moonbase, Hostinger, our email provider, QuickBooks, MailerLite, GitHub, Dropbox, Apple Developer services, and other operational tools or providers we use from time to time.

Where a third-party provider processes your information, its own terms and privacy policy may also apply. We take reasonable steps to use reputable providers appropriate for the services they perform.

Some personal information may be accessed, stored, or processed outside Australia, including in countries where our customers, third-party providers, infrastructure, support tools, payment providers, licensing providers, or professional advisers are located. These countries may include the United States, Canada, European countries, and other jurisdictions.

Privacy and data protection laws may differ across countries. Where required by applicable law, we take reasonable steps to ensure that overseas handling of personal information is subject to appropriate safeguards.

9. Security, Retention, and Data Breaches

We take reasonable technical, organisational, and administrative steps to protect personal information from misuse, interference, loss, unauthorised access, modification, or disclosure.

These steps may include access controls, authentication measures, limiting access to information where appropriate, using reputable third-party providers, maintaining business records securely, keeping payment-card handling with authorised payment infrastructure providers, and applying reasonable security practices for our size and operations.

No website, software system, licensing system, payment system, email system, cloud service, or third-party provider can be guaranteed to be completely secure.

We retain personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy. Customer, order, licence, entitlement, tax, accounting, refund, chargeback, support, activation, validation, security, fraud-prevention, and business records may be retained for as long as reasonably needed for account access, licence management, support, compliance, dispute handling, security, fraud prevention, legal, tax, accounting, and business administration purposes.

Marketing records may be retained until you unsubscribe or until they are no longer reasonably needed. Backups and archived records may persist for a limited period depending on our provider systems and business practices.

When personal information is no longer reasonably needed, we will take reasonable steps to delete, de-identify, or securely archive it, subject to legal, tax, accounting, fraud-prevention, security, dispute-resolution, licensing, backup, and business-record obligations.

If we become aware of a suspected privacy or security incident affecting personal information, we will take reasonable steps to assess the incident, contain it where possible, and determine whether notification is required. Where required by applicable law, we will notify affected individuals, regulators, or other relevant parties.

10. Your Rights

You may contact us to request access to, correction of, or deletion of personal information we hold about you.

Depending on your location and applicable law, you may also have rights to object to certain processing, request restriction of processing, request portability of certain information, withdraw consent, or make a complaint to a privacy regulator.

We may need to verify your identity before responding.

We may not be able to provide access to or delete information in every case, including where information is held by a third-party provider, where retention is required or permitted for licence records, tax or accounting obligations, fraud prevention, security, legal claims, dispute handling, backups, or legitimate business records.

If we cannot comply with a request, we will explain why where reasonable and lawful.

11. Automated Decision-Making, Embedded Content, and Business Transfers

We do not use our website or software to make decisions about you solely by automated means that produce legal or similarly significant effects.

Some third-party providers may use automated systems for fraud prevention, payment risk assessment, tax handling, email delivery, analytics, security monitoring, spam detection, or licence abuse detection. These systems are used to support security, compliance, and service operation.

Pages on our website may include embedded content or links from other websites. Embedded content from other websites behaves in the same way as if you visited the other website directly. Those websites may collect information about you, use cookies, embed additional tracking, and monitor your interaction with that embedded content.

If Panorama Audio Labs is involved in a merger, acquisition, sale of assets, restructuring, financing, insolvency process, or similar transaction, personal information may be transferred as part of that transaction, subject to applicable law.

12. Changes and Contact

We may update this Privacy Policy from time to time. Updated versions will be posted on our website with a revised “Last updated” date. Updated versions apply from the date they are posted, unless stated otherwise.
